A person whose
occupation is a facilities specialist, (also sometimes called a facilities
coordinator), usually works as part of a team that is responsible for many
tasks related to a running a building’s maintenance. Facilities specialists may
have to carry out a number of different tasks, which can include things like postal
operations and shipping, conference planning,repairs and maintenance.
A facilities
specialist may also be in charge of various dimensions of employee safety,
including coordinating emergency responses and educating workers on best
practices. Depending on the responsibility level, they will also have to supervise
other members of the group.
Coordination and Development
Facilities
specialists can also be primarily responsible for posting coordination, shipping,
receiving and carry out a number of other daily smaller tasks. They have to deliver
incoming mail to employees, and coordinate outgoing mail. In some cases, they
may include having to develop procedures for handling interoffice mail, as well
as providing assistance to staff who need to send packages or other items.
If conference
planning happens to be the major task of a facilities specialist, the job duties
can include coordinating all aspects of meetings and all functions of an office.
This may include ordering business and catering
supplies,
scheduling conferences and rooms and ordering any necessary equipment, plus
taking care of any meeting attendees. This kind of facilities job will also
require coordination of any technical or audio/visual functions that are needed.
Repairs and Databases
Fulfilling building
repair and maintenance duties is yet another important responsibility of a
facilities specialist. This side of the job might require being able to respond
directly to repair requests and actually carrying out those repairs if at all possible.
There’s also involvement in taking employee requests and passing them on to
another department or an outside vendor for resolution. Along with this there’s
the job of maintaining a database or an electronic tracking system to log all
of these kinds of activities.
Another part of a
facilities specialist’s multifaceted occupation is being responsible for
developing and updating employee safety and emergency response policies. They have
to create specific policies for things such as evacuations, provide prior notification
of building closures, or in the administering of first aid to injured employees.
They will also include being responsible for the maintenance and upkeep of building
equipment such as emergency defibrillators or fire extinguishers and replacing
them as necessary.
Supervisor Duties
In the case of a
supervisory role, a facilities specialist will have to be responsible for
managing other facilities staff and the hiring of new workers, plus be the
primary contact with the facilities team for other company employees. Finally,
they can also be accountable for representing the facilities group to
senior-level personnel.
